Guidelines for Presentations

Abstract submission deadline: 1 April 2025


Oral presentations

  • Official language: English
  • Preferred presentation file format: Microsoft Office PowerPoint (.ppt, .pptx), pdf file format is also acceptable.
  • Presentation slides should be of a 16:9 format.
  • Use standard fonts such as Times New Roman, Arial, Calibri, or Verdana which will be installed on the session room computers. If you use any unique fonts, your presentation may not operate correctly on the session room computer.
  • Verification of proper performance of the presentation in the Conference Room is highly recommended, particularly if video or animation is used.
Presentation material submission
  • Presenters will not be allowed to use personal laptops to avoid problems with computer-projector compatibility.
  • All speakers must check in to the Conference Room one day before their talk to upload their presentation file to the presenting laptop. First day presenters are asked to hand over their files to the technician immediately upon arrival.
  • Presentation files will be uploaded via USB (flash) drive, we do not collect presentations via email.
  • After uploading your file, please make sure to test the equipment, view your slides, and run through your presentation. Technical support will be there to help you with any challenges.
Allocated presentation time
  • Please arrive at the Conference Room 10 minutes before the actual session starts and introduce yourself to the session chair.
  • Plenary Lectures: 30 minutes which includes up to five minutes of Q&A
  • Flash talks (selected abstracts): 10 minutes with no Q&A. Any questions that arise can be discussed during the poster sessions.
  • Speakers are kindly asked to adhere to these timeframes. Session chairs will be closely monitoring the timing to ensure a smooth flow of the event.

Poster presentations

Poster presentation regulations
  • Posters are displayed throughout the meeting in the Kondorosi exhibit hall.
  • Posters should be mounted and removed by the presenters themselves in time.
  • Please note that the posters which are still up at the end of the meeting will be discarded.
Poster preparation
  • Poster Size: A0 Size (portrait oriented, 841 mm width x 1189 mm height). The poster boards work with a clip frame, so the posters cannot be attached with pins or blu-tack. Please note that any deviation from the standard A0 size therefore does not allow the poster to be attached to the designated board.
  • The poster title, author(s)’s name(s) and affiliation(s) should appear on the top.
  • Posters should be readable to viewers from 1 meter away. For legibility, a minimum font size of 24 points is recommended.
  • Keep logos discrete and to a minimum

The use of personal cameras and other recording devices in oral and poster sessions is strictly prohibited without express permission from the presenter. To remind conference participants, it may be helpful to include this icon on your oral presentation slides or poster:
